Shipping Weight Calculator: Optimise Postage with DHL, DPD and Hermes

tutorials

Anyone who ships parcels regularly knows the problem: the parcel weighs only 1.2 kg, but the shipping cost is in the 5 kg bracket. The culprit is volumetric weight – large, light parcels are charged based on their size. Our calculator works out the actual billable weight (the higher of actual weight and volumetric weight) for all major carriers.

Step by Step: How to Use the Shipping Weight Calculator

  1. Enter parcel dimensions: Length, width, height in cm – outer measurements including packaging.
  2. Enter actual weight: Total weight of the packed parcel in kg.
  3. Select the carrier: DHL, DPD, Hermes, GLS, UPS or FedEx.
  4. Volumetric weight is calculated: L × W × H (cm) / 5,000 = volumetric weight in kg.
  5. Billable weight: Max(actual weight, volumetric weight) determines the price band.

Practical Examples

Air mattress in a box (60×40×30 cm, 1.8 kg): Volumetric weight = 60×40×30/5,000 = 14.4 kg. Billable weight: 14.4 kg (not 1.8 kg!). Surprisingly expensive!

Books (30×25×20 cm, 4.5 kg): Volumetric weight = 30×25×20/5,000 = 3 kg. Billable weight: 4.5 kg (actual weight is higher). No surcharge.

Optimising a clothing parcel: Original 50×40×30 cm, 2 kg. Volumetric = 12 kg. By compressing to 40×30×25 cm: volumetric = 6 kg. Half the shipping band!

Shipping Weight Calculation

Formula for volumetric weight: (L × W × H in cm) ÷ 5,000 = kg

Billable weight = Max(actual weight, volumetric weight)

DHL parcel weight bands:

  • up to 2 kg: from €4.39
  • up to 5 kg: from €4.89
  • up to 10 kg: from €6.49
  • up to 31.5 kg: from €9.49

Frequently Asked Questions (FAQ)

What is the 5,000 divisor in the volumetric weight formula?
The factor 5,000 is the standard formula used by most parcel carriers (DHL, DPD, etc.). Express carriers (DHL Express, FedEx, UPS) sometimes use 5,000 or 4,000 depending on the contract. Formula: (L × W × H cm) ÷ 5,000 = kg.
Are there maximum size limits for parcels?
DHL parcel shop: max. 120×60×60 cm, girth (L+2×W+2×H) max. 300 cm. DPD: max. 175×78×70 cm. Hermes: max. 120×60×60 cm. Above these limits: freight forwarding required.
How can I reduce my shipping costs?
Use the smallest box that safely holds the contents (reduces volumetric weight). Minimise void fill without compromising protection. Check whether several small parcels are cheaper than one large one. For high volumes, negotiate annual rate agreements with carriers.
